Terms and Conditions

Last updated: 9 October 2026

These terms explain how you may use this website and the terms on which Hero Offices provides its services to business customers. Please read them carefully. If you have a signed proposal or other written agreement with us, that agreement takes priority over these terms wherever the two conflict.

Part 1: Using this website

1. Use of the website

You may browse this website freely. You must not misuse it, including by attempting to gain unauthorised access to it or its systems, introducing viruses or other harmful code, scraping or copying its content in bulk, or using it in any way that is unlawful. We may suspend or restrict access at any time without notice.

2. Information on the website

The information on this website is general and for information only. It is not professional advice. We take reasonable care to keep it accurate and up to date, but we do not guarantee that it is complete or error-free. Descriptions of our services are illustrative. The services we provide to you will be those set out in your agreed proposal or quote.

3. Intellectual property

The content of this website, including text, design, graphics and logos, belongs to us or our licensors. You may view and print pages for your own internal business use. You must not copy, reproduce, republish or distribute our content without our written permission.

4. Enquiries

Submitting an enquiry through this website does not create a contract between us. We will use any personal information you provide as described in our Privacy Policy.

5. Links to other websites

This website may link to third-party websites. We do not control them and are not responsible for their content or practices.

6. Our liability for the website

The website is provided “as is” and “as available”. To the fullest extent permitted by law, we are not liable for any loss arising from your use of, or inability to use, the website. Nothing in these terms excludes or limits any liability that cannot be excluded or limited by law.

Part 2: Terms for our services

7. Business customers only

Our services are supplied to businesses only, not to consumers. By placing an Order you confirm that you are acting for the purposes of a business.

8. What we do

We act as a single point of contact for workplace needs. This can include sourcing and quoting suppliers, coordinating and managing works and deliveries, and arranging events and catering, for example repairs and maintenance, furniture, AV, decorating, signage, office projects and moves, catered lunches, pop-ups and other office experiences. The precise scope of our services is set out in your proposal or quote.

“Supplier” means any third-party contractor, tradesperson, caterer or vendor we engage in connection with the services. “Quote” means a written price we give you for specific work or services. “Order” means a Quote that you have approved.

9. Quotes and orders

9.1 Quotes are valid for 30 days unless stated otherwise. They are based on the information you give us and may change if the scope changes.

9.2 We will not place an order with a Supplier until you have approved the relevant Quote in writing. An email is sufficient. Your approval creates a binding Order on these terms.

9.3 Any change to an Order must be agreed in writing, and may change the price and timescale.

10. How we contract

10.1 Principal basis (the standard approach). Unless we agree otherwise in writing, we contract with Suppliers in our own name and you contract with us. We invoice you for the Supplier's cost plus our management fee, shown as separate lines in the Quote.

10.2 Introducer basis (larger or specialist works). For some larger or specialist works, including construction, structural or building works, we may agree in writing to act as introducer and project manager. In that case you contract directly with the Supplier and pay the Supplier directly. We charge a separate project management fee, as set out in our Quote and calculated on the contract value. We are not a party to the contract between you and the Supplier, and we are not responsible for the Supplier's work.

10.3 Introductions. If we introduce you to a Supplier under clause 10.2 and you engage that Supplier for the project, or for substantially similar work, within 12 months of our introduction, the project management fee is payable on the full contract value, whether or not the Supplier is engaged through us. You agree to tell us the agreed contract sum within 14 days of agreeing it, and at any time on request.

11. Fees and payment

11.1 Our fees are as set out in your proposal or Quote and may include a monthly retainer and a management fee on Supplier costs. Retainers are invoiced monthly in advance.

11.2 All prices exclude VAT, which we will add at the applicable rate.

11.3 We may require a deposit of up to 50% of the Quote value, or full payment for smaller orders, before we place an order with a Supplier. We will not place the order until we have received it.

11.4 Invoices are payable within 14 days of the invoice date unless stated otherwise.

11.5 If you pay late, we may charge statutory interest and fixed-sum compensation under the Late Payment of Commercial Debts (Interest) Act 1998, together with our reasonable recovery costs. We may also suspend services until payment is made.

11.6 If a Supplier's price changes after we have given you a Quote, for example because the scope has changed, we will tell you and obtain your approval before proceeding.

12. Your responsibilities

You agree to:

  • give us accurate and complete information, and tell us promptly of any changes
  • give us and our Suppliers safe, timely access to your premises
  • obtain any consents or permissions needed, including from your landlord or building manager, and any planning, building regulation, fire safety, premises or alcohol licence approvals
  • tell us about any hazards at the premises, such as asbestos or restricted areas, and follow building rules
  • give us accurate attendee numbers and any dietary or allergy requirements for catering and events

13. Suppliers

13.1 Suppliers are independent businesses. We take reasonable care in selecting them and we will ask them to hold insurance appropriate to the work.

13.2 We will pass on to you the benefit of any warranty or guarantee a Supplier gives, and we will use reasonable endeavours to have Supplier faults put right at no extra cost to you.

14. Events and catering

Suppliers are responsible for food hygiene compliance and allergen information. We cannot guarantee attendance at any event. Alcohol will only be provided by appropriately licensed Suppliers and where you have confirmed that you have the necessary permissions.

15. Timescales

Delivery and completion dates are estimates unless we agree otherwise in writing. Time is not of the essence.

16. Cancellation and changes

16.1 You may cancel an Order before we have placed it with a Supplier at no charge, other than any agreed fee for work already carried out.

16.2 Once we have placed an order with a Supplier, you must pay the costs already committed, any cancellation charges the Supplier makes, and our management fee on those costs.

16.3 For events, cancellations less than 7 days before the event may be subject to the full Supplier charges.

16.4 Retainer services run for an initial term of 6 months and then continue until either of us gives 30 days' written notice to end them. Work in progress and committed Supplier costs remain payable.

17. Liability

17.1 Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded by law.

17.2 Subject to clause 17.1, we are not liable for loss of profit, revenue, goodwill or anticipated savings, or for any indirect or consequential loss.

17.3 Subject to clause 17.1, our total liability to you in connection with each Order is limited to the total amount paid or payable by you for that Order. For retainer services, it is limited to the retainer fees paid in the 12 months before the claim arose.

17.4 Where we act as introducer under clause 10.2, we are not liable for any Supplier's work or default.

17.5 We hold public liability and professional indemnity insurance.

18. Confidentiality

Each of us will keep the other's confidential information confidential and use it only for the purposes of the services, except where disclosure is required by law or is necessary to deliver the services to Suppliers acting on our behalf.

19. Data protection

Each of us will comply with applicable data protection law. We process personal data as described in our Privacy Policy.

20. Ending the agreement

Either of us may end an Order or agreement immediately by written notice if the other commits a material breach that is not remedied within 14 days of notice, or becomes insolvent. Ending an agreement does not affect rights that have already accrued, and you must pay for work done and Supplier costs already committed.

21. Events outside our control

Neither of us is liable for delay or failure caused by events outside our reasonable control, including severe weather, supply shortages, Supplier failure, strikes, utility outages or government action. We will tell you promptly and do what we reasonably can to limit the effect.

22. Complaints

If you have a concern, please contact us at hello@herooffices.co.uk. We will acknowledge it within 2 working days and aim to resolve it promptly.

23. General

  • Entire agreement: these terms, together with your proposal or Quote, are the whole agreement between us for the services.
  • Changes: we may update these terms from time to time. The version in force when you approved an Order applies to that Order.
  • No partnership: nothing makes us partners, joint venturers or employer and employee, and we have no authority to bind you unless you agree in writing.
  • Assignment: you may not transfer your rights or obligations without our written consent.
  • Severance: if any part of these terms is found unenforceable, the rest continues in force.
  • Waiver: a delay in enforcing a right is not a waiver of it.
  • Third parties: no one other than you and us has any right to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.
  • Notices: notices may be given by email to the address most recently notified by the other party.

24. Governing law

These terms, and any dispute arising from them or our services, are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
